Why every quote you got is different

These bands assume a senior team, AI-assisted delivery, and you owning the code at the end. Quotes far above them are usually pricing in overhead. Quotes far below them are usually pricing in a disappearance.
What actually moves the number
Within a band, four things drive most of the variance — and they are worth knowing because they are the levers you control:
Integrations. Every system the tool must talk to — CRM, accounting, a legacy database — adds $2,000–$6,000 and real risk. Cutting an integration in v1 (import a CSV for the first month instead) is the single cheapest scope decision you can make.
Permissions. "Everyone on my team sees everything" is nearly free. "Admins, managers, and staff see different things" adds a few thousand. "External clients log in and must never see each other's data" is a security boundary that deserves engineering, and costs like one.
Data migration. Moving years of spreadsheet history in cleanly is $1,500–$4,000. Skipping it and starting fresh is free — and often the right call.

Ask what happens in month four when the team wants a new field and an upstream API changes. A build with no maintenance answer is not cheaper — it is deferred cost. Every project should end with either a named internal owner or a modest monthly arrangement with the builder.
What AI changed — and what it didn't
